Managing your Elluminate Live! Virtual Rooms

This basic user guides takes you through creating, accessing, editing a virtual room and retrieving your recorded session for Elluminate Live!.

Open your web browser and go to http://elluminate.aku.edu.

Entering the basic details

Enter the basic details for your virtual room. The creator of the meeting will be the moderator by default.

a) Give your virtual room an appropriate title.

b) You can enter a password to make your meeting more secure. However, you will have to communicate this password to all the participants of the meeting or they will not be able to access the virtual room.

c) Select appropriate dates and timings. It is suggested that you set up the meeting room at least 0.5 hour before the start of the actual session for testing purposes.

d) If your meeting is going to recur daily or weekly basis you can request for the meeting to be repeated by click on the checkbox.

e) Click on this box if you want your meeting to be seen by everyone who has access to and logs in to the Elluminate Live! Manager. This is recommended for public meetings.

Add moderators or participants to your virtual room.

Enter a name in the search box and click on search.

The search will yield several names. Select the name of the individual from the list and click on either ‘Add Moderator’, if you wish the participant to co-moderate your session or on ‘Add Participant’, if you wish the participant to just attend and interact in your session. You can add as many attendees to your virtual room as you like.

If you wish to remove moderator or participants from your virtual room, simple click on their name and click on either, ‘Remove Moderator’ or ‘Remove Participant’.

Click on the ‘Create’ button to create your virtual room. For details on the more advance options available, please contact ied.openlearning@aku.edu or Ext. 3912.

Meeting Room Details

Once your virtual room has been created you will led to a page where you will find your meeting room details.

Click on the meeting room link if you wish to enter your meeting room right away.

To send out email invitations via the Elluminate Live! Manager, click on the appropriate link as indicated.

Email invitation templates are available for the moderator, participants and additional participants (these may be participants who are not part of the AKU network and may have other internet based email addresses, e.g. johnsmith@gmail.com). You may edit the templates as you wish and add additional participants by entering their email addresses in the box right at the end of the page. Click on submit to send out the email invitation/s.



You will receive a confirmation message that intimates that your email message/s have been sent. Click on ‘Close Window’ to exit.

If you do not wish to send out an email invitation, simply click on return to today’s schedule to be led to the homepage of the Elluminate Live! Manager.

Accessing your virtual room

On the current day’s schedule, you will see the virtual room that you have just created. Click on the meeting room link to access your virtual room.

Basic navigation

Use the calendar to navigate and find virtual rooms created previously or in advance by yourself or others.

Other options

Expand Use this button to expand to view your virtual room details.

Expand Use this button to delete your virtual room.

Expand Use this button to edit your virtual room.

Editing a virtual room

When you click on the edit button , you will be led to that specific virtual room page. You can make whatever changes to wish to make and click on update to save your changes.

Retrieving recordings of your session

If you chose to record your Elluminate Live! session, the recordings which are archived by date can be accessed by clicking on the recordings tab.

Use the calendar to navigate for the date on which you made the recording.
Access the recordings by either clicking on the recording links available for that date or if you like you can copy the shortcut for that link to be sent to email recipients. When you paste the link to your email, it will look something like this http://elluminate.aku.edu/play_recording.html?recordingId=1241754608385_1241754627734.

If you click on the link, you will be led to a page that where you will be given options to either open the recording or save it as a jnlp file on your computer.

After you are done creating/editing or accessing your virtual room, please log out.
