Appendix A: Recording of Academic Sessions via Elluminate Live!

Introduction

AKU-IED hosts a number of academic sessions which provide valuable avenues to discuss important educational and research issues and disseminate information. Those who attend these sessions in person benefit from the content delivered and subsequent interaction among the participants. However, many are not able to attend these sessions due to other work commitments and it is important for there to be mechanism in place whereby these sessions can be recorded and be readily accessible for later viewing.

Elluminate Live!, has in the past, been used to record the proceedings of the International Conference held at AKU-IED, which have been made available on the conference website. A system is proposed whereby all academic sessions that are held at AKU-IED are recorded via Elluminate Live! and archived on the AKU-IED Intranet for viewing at faculty/academic staff’s convenience.

The following are some examples of proceedings that could be recorded via Elluminate Live! and shared via AKU-IED’s Intranet site.

Implementation procedure

Following are proposed steps for implementation

1. The person responsible for these sessions makes a request to the IS Helpdesk for making arrangements with the IS Help for all necessary equipment e.g. laptop, multimedia, microphones etc. and IS Help support.

2. A request for use of Elluminate Live! is to be made by filling out the Elluminate Live! Request Form available on the OL website at least 2 working days prior to the session.

3. On receipt of the details, a representative from the OL Unit will contact the person responsible and train them to create virtual rooms and orient them on using Elluminate Live! for moderating and recording of sessions.

4. On the day of the session, the Programme Officer/support person to that academic session, with support from the OL Office and the IS Helpdesk, records the session and keeps a back up of the proceedings for their own archive/reference.

5. The recorded session is saved in an mp3 format and sent to the Marketing and Communications Unit at AKU-IED for uploading on AKU-IED’s Intranet site for a wider audience to access online.
